Rule 16

Download everything, any time, free

Software company Version 0.1  ·  Working Draft

The rule

The campground can download all of its data itself, whenever it wants, for free.

  1. The download includes all guests, past and future reservations, payments and the ledger (the record of money in and out), rates, and site details.
  2. The format is CSV or JSON, with a published guide to every field, including tables that explain internal ID numbers. A PDF doesn't count.
  3. It works on demand, without asking support, with no limit on how often, on every plan.

What this looks like

On any day of the year, the manager clicks "Export" and gets every guest, every past and future reservation, payments and the ledger, rates, and site details, in files a spreadsheet or another booking system can open.

Why

One major contract says the campground "retain[s] all ownership rights" in its data, but after termination the software company only "may permit" retrieval, with no format or completeness promised. No contract found guarantees a complete self-service export. No case was found of a company actually refusing one; the risk is in the contract wording.

How it's checked

Software company

Run the export and compare it with the live system (Appendix A, T8).

Pass

  • (a)–(c) hold.
  • The counts and sampled records match, including cancelled and future reservations.

Fail

  • Anything is missing.
  • The export needs a support ticket.
  • It isn't available on demand.
  • It costs money.
